2IC | BUSINESS & OFFICE MANAGER

Reports To: Executive Creative Director & Founder
Remuneration: Market Related
Location: Sandton & Illovo
Working Hours: Monday – Friday, 9am – 5pm

Position Overview:

Our renowned Interior Design Client, specializing in high-end residential and commercial projects, is seeking a dynamic and highly organised 2IC/Business and Office Manager. The ideal candidate will oversee the design team, procurement, and QS departments, ensuring project schedules, workflow, and deadlines are met efficiently. This role requires proactive leadership, excellent organizational skills, and a strong technical understanding of the building design and construction industry.

Minimum Requirements:

A three-year tertiary qualification in Interior Design.
A minimum of 5+ years’ experience in a managerial role within a corporate and business environment.
Strong technical knowledge of building design and construction.
Valid driver’s license and reliable transport.
Experience in estimating & quantity surveying.
Proficiency in MS Office and relevant software packages.
Proven experience in managing small and large-scale projects.
Strong team management skills.

Key Responsibilities:

Design Studio Management:

Oversee project progress, administration, and coordination.
Liaise with clients, contractors, suppliers, and internal teams.
Research and implement efficient systems and structures.
Maintain project schedules and ensure seamless workflow.
Ensure all policies and procedures are implemented consistently.
General housekeeping of studio admin, archiving, and daily processes.
Design Implementation:

Manage projects from concept to completion.
Compile and oversee full drawing packs and conceptual designs.
Approve and verify that all design projects comply with statutory and building regulations.
Conduct space planning, site measurements, and technical detailing.
Meet with contractors on-site and compile full specification documents.
Quantity Surveyor & Costing Management:

Monitor project costings and liaise with the QS department.
Ensure smooth workflow and timely project cost reports.
Compile weekly financial reports for management updates.
Procurement Oversight:

Oversee procurement processes, budgeting, and vendor approvals.
Conduct due diligence for suppliers and monitor database administration.
Ensure seamless workflow within the procurement department.
Compile and present weekly procurement reports.
Administration & Operations:

Manage high-volume meetings, reports, and presentations.
Coordinate all project administration and deadlines.
Handle ad-hoc duties as required by management.
Essential Role Outputs:

Professional support to Design, QS, and Procurement teams.
Relationship management with clients, consultants, contractors, and suppliers.
Oversee project deadlines, deliverables, and feedback coordination.
Communicate project progress, risks, and site-related issues effectively.
Manage service delivery within the supply chain teams.
Bring industry knowledge, innovation, and technology to client projects.
Submit regular reports to ensure seamless communication.
