We are seeking an organized, proactive, and detail-oriented Personal Assistant and Office Assistant to join our team and support our daily operations.

Job Overview:
As a Personal Assistant and Office Assistant, you will be responsible for managing the day-to-day administrative tasks of the office while providing personalized support to the lead interior designer and project managers. This dual role will involve both assisting with office administration and handling tasks that support the personal and professional needs of the design team.

Key Responsibilities:
Personal Assistant Duties:
• Manage and coordinate the calendar of the lead interior designer, scheduling meetings, appointments, and travel arrangements.
• Act as the main point of contact for clients, vendors, and other stakeholders, ensuring prompt and effective communication.
• Assist with the preparation and organization of presentations, reports, and documents for client meetings and project proposals.
• Handle personal errands and tasks related to the lead interior designer’s work life, as needed.
• Coordinate and manage meetings, including booking conference rooms, preparing agendas, and taking notes.
Office Assistant Duties:
• Manage office supplies and maintain inventory, ensuring the office is well-stocked and organized.
• Answer and direct phone calls, take messages, and respond to inquiries as needed.
• Provide administrative support to the design team, including document filing, data entry, and general office tasks.
• Organize and maintain physical and digital project files, ensuring easy access and accuracy.
• Coordinate office events, meetings, and team activities.
• Assist in client hospitality, ensuring a positive experience during office visits or meetings.
• Assist with invoicing and project tracking as needed.

Skills & Qualifications:
• Previous experience as a Personal Assistant, Office Assistant, or in a similar administrative role (preferably in the design or creative industry).
• Strong organizational and time management skills, with the ability to multitask and prioritize effectively.
• Excellent communication skills, both written and verbal.
• Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and project management software.
• Knowledge of interior design industry practices and terminology is a plus.
• A proactive, solution-oriented mindset with the ability to work independently and as part of a team.
• A keen eye for detail and a high level of discretion, especially when handling sensitive information.
• Flexibility to adapt to changing schedules and priorities in a fast-paced environment.

Education & Experience:
• High school diploma or equivalent required; Associate’s degree or higher preferred.
• 1–3 years of experience in an administrative or assistant role, ideally within the design, architecture, or creative industries.
Salary: R20 000 gross – R25 000 Gross
