Document Controller for Architectural & Design Firm Based in Sandton
A dynamic architectural and interior design firm known for delivering exceptional design solutions. They are looking for an organized and detail-oriented Document Controller to join their growing team.
As a Document Controller, you will be responsible for maintaining and managing all project documentation in an organized, efficient, and compliant manner. You will ensure that all architectural and interior design documents, including plans, specifications, and contracts, are properly recorded, filed, and accessible to relevant teams.
Requirements:
• No less than 5 years of experience in a similar role
• Bachelor’s degree or diploma in a relevant field (e.g., Architecture, Interior Design, Construction Management, or Business Administration)
• Proven experience (2+ years) in document control, administration, or a similar role within an architectural, construction, or interior design environment
• Strong knowledge of document management systems (e.g., Procore, Aconex, or similar) and MS Office Suite (Word, Excel, Outlook)
• Familiarity with project management software and tools
• Attention to detail with the ability to manage multiple projects and meet deadlines
• Excellent organizational and communication skills, both written and verbal
• Ability to work independently and as part of a team
• Knowledge of architectural and interior design terminology, processes, and standards is a plus
• Strong problem-solving skills and proactive attitude
• Understanding of local and international document management standards and practices is desirable
• Ability to adapt and learn new software and systems quickly
Responsibilities:
• Serve as the primary point of contact for locating documents or drawings within the company
• Implement and enforce strict document control processes
• Issue drawings and documents to clients and contractors
• Ensure the correct and most up-to-date version of documents/drawings are sent to clients or contractors
• Create and maintain folders, ensuring they are up-to-date with the latest revisions and easily accessible to Engineers
• Develop and manage drawing and document registers
• Store both hard copies and digital files
• Create and manage Excel spreadsheets
• Organize folders related to design, review, and construction phases
• Conduct a final check of drawings before they are issued to clients
• Assist clients via phone and email with queries
• Manage and control all quality-related documentation, including procedures, work instructions, forms, and records
• Ensure all documentation is current, accurate, and accessible to the appropriate personnel
Salary is Market related, depending on the Candidate’s current salary, skills, experience and qualifications, etc.
