Financial Administrator – Property Management Sector (Cape Town)
A well-established property management firm in Cape Town is seeking an experienced Financial Administrator to manage monthly MDA accounting processes, data capturing, credit control and general administrative support across a mixed commercial property portfolio.
Candidate Profile
Industry Experience Required
• Experience working within a property management environment acting as a managing agent for property owners.
• Exposure to commercial real estate, including retail centres, industrial parks and office buildings.
Role Experience
• Minimum 10 years’ experience as a financial administrator within the above property management environment.
Software Experience
• Strong working knowledge of MDA property management/accounting software (essential or highly advantageous).

Key Responsibilities
MDA Accounting & Administrative Functions
• Record and allocate tenant deposits and rental payments.
• Administer investment of trust and third-party funds.
• Prepare rental reconciliations and journal entries.
• Process landlord-related payments such as municipal utility bills and SARS obligations.
MDA Data Capturing & Reconciliation
• Capture tenant trust transactions and payments.
• Reconcile and allocate municipal utility charges payable by tenants.
• Process recoveries of legal costs from defaulting tenants.
• Record supplier invoices and expenses on behalf of property owners.
• Manage VAT transactions as presented in cash flow reports and rent rolls.
• Maintain records of business banking transactions.
Credit Control
• Reconcile landlord accounts and ensure accuracy of outstanding balances.
• Investigate and resolve queries related to debtor aging.
• Negotiate and monitor payment arrangements with tenants.
• Initiate handover of delinquent accounts to legal service providers.
• Provide regular updates and reporting to senior management.
General Administrative Support
• Maintain documentation for all property-related activities within the portfolio.
• Build and maintain strong working relationships with landlords and tenants.
• Communicate with municipalities, contractors and service providers when needed.
• Assist with data processing and ad-hoc administrative tasks.
• Support day-to-day office administrative functions.

Minimum Requirements
• Matric (Grade 12).
• Relevant tertiary qualification in finance, accounting or property administration.
• Substantial experience in property-related financial administration.
• Proficiency in MDA software preferred.
• Strong computer literacy (MS Office).
• Exceptional attention to detail.
• Key competencies: effective communication, strong organisational ability, the capacity to work independently, analytical thinking and precise problem assessment.
• Strong verbal and written communication abilities.
